Guide: How to Create and Share Documents using Dropbox Paper

In a recent update, Dropbox boldly went where it hadn’t left off. Documents in the cloud, which can actually be created, stored and shared within the app. We’ve seen a similar implementation by Google Drive for a while, but not Dropbox. The company calls it Dropbox Paper – a place where you can jot down and share ideas within a team, while easily embedding things in it.

Institution Up

As you would expect, setting up the paper bill is a breeze. You can visit the Paper website and sign up. When you’re done, you can start creating your own documents. Or take a quick tour of the sample papers to see what you can create. If you want more details stick around. Then you have come to the right place.

Keep in mind that: At the time of writing, Paper is a web only feature and is not included in the iOS or Android app. In fact, creating a ‘document’ in Dropbox Paper is like creating a quick note with proper formatting and additional options. It’s not comparable to creating a real Word document, like in Google Docs. There aren’t that many editing options available on paper yet, but there are a few more, such as headings (H1, H2), lists (bullets or numeric), insert tables and images, and even one to insert code.

The whole interface feels quite like Medium. Clean and minimal with editing options available only when you right-click or press the “+” symbol.

Organize and Share

One thing Dropbox has always been great at is organizing your files. In a recent update, you can now see your most recent files first, making the whole cloud storage experience more intuitive. Even with Paper, Dropbox has a clean and tidy interface of folders on the left and an ever-present Create button above the search box.

The search function works very well and this is where it is important to name your relevant files correctly. In my short time with a handful of documents created, I found that the search functionality was pretty good at finding documents I needed, even with a few keywords that weren’t part of the document name itself.

Sharing is super easy. Press on the top right Share button and enter the name of the colleague with whom you want to share the document. Once confirmed, he / she can also edit your document and / or add comments, which I found very useful. Especially if you do a project in collaboration with people all over the country / world.

Neat but needs improvements

When it comes to taking quick notes, minutes or similar work, Paper is a nice addition. Writers cannot make full use of it as it does not show word count anywhere, cannot be ‘saved as’ a Word document or any other format, nor does it support Markdown. Coders may find it more useful, especially if they want to support it up in the cloud and available on any device they work on.

For the rest, it’s still a really good alternative to Evernote’s baggage and Google Keep’s modesty. If you’ve already tried it, let us know what you made of it in our forum. Or have better alternatives you work with.
