For many of us, email is a way of life. And Gmail is the bloodstream of choice. If you have a business or job that is even remotely related to the digital world (and whose isn’t), Gmail’s website is where you’ll spend most of your days. And you send a lot of e-mail. It can be personal, work related, for different clients, etc. Juggling email for a freelancer is tough, especially when it comes to the signature. Many freelancers modify their signature depending on who they are sending the email to, and choose to add or remove things from the signature. I know a fellow writer who uses her own quotes as a signature. It’s an interesting way to stand out in this digital world. But it can get boring to have just one quote. What if you had templates prepared for different quotes with the linked blog posts available in an easy-to-switch user interface? Or different signatures preconfigured for different clients / scenarios? If you’re using Gmail’s web client, this is easy to do.
Enable Canned Responses
Canned answers is a Google Labs feature developed for the lazy. It allows you to create richly formatted messages and convert them into snippets, ready to be pasted from the compose window.
To make this possible feature click the gear icon and click Settings. You will see a Labs tab third from the right. Click on it to see all current labs. You can search for canned answers or scroll down. Click Enable button and save the settings.
Configure different signatures
Now go to the compose window and type whatever you want as signature. Feel free to add rich text formatting and links to it. Even highlight the text if you want – anything currently in the compose window will be saved as one clip.
Click the down arrow menu button and from there go to Canned Responses -> New Canned Responses.
You see a pop-up asking for a title for the answer. Add something memorable. If it is a special signature for a customer, add it. You can do this as often as you want.
Exchange signatures
If you’ve turned on a default signature, you know that anything below the two dashes marks a signature. So mark everything under the dashes and go to Standard answers from the menu.
Under the heading Insert you will see the titles of all clips you have saved. Click on one and the content will be swapped with the highlighted text. If you want to add a snippet instead of replacing it (say a quote), leave the cursor on a new empty line.
